The first of the suite-embedded options, and the one with the strongest case for large organisations. It works across Outlook, Teams, Word, Excel, PowerPoint and SharePoint, which means it can answer questions about your actual work rather than about work in general - who agreed what in which meeting, what is in the deck from March, what this spreadsheet is telling you.
Strongest at: removing the search tax. It also respects existing permissions, which is why it tends to be the option that clears an enterprise security review when standalone assistants do not.
Worth knowing: two real constraints. It does not reach outside Microsoft, so if your CRM, chat or project tool sits elsewhere it cannot see any of it. And its usefulness is capped by your file hygiene - point it at years of duplicated folders and vague file names and it will confidently surface the wrong version of things. Fixing that is a project in itself.
Best for: mid-size and large organisations genuinely committed to Microsoft 365, with the information architecture to support it.
